The short answer

The phone agent
The part most people mean when they say "AI receptionist." It picks up, speaks naturally, understands what the caller needs, asks the qualifying questions you define, quotes from your price list, and books an appointment on a live calendar. The distinguishing capability is quoting. A message-taking service can tell you someone called about a water heater. What the Jarvis brain is
"Jarvis brain" is the piece people ask about most, and it is worth being precise.
The brain is the reasoning layer that sits on top of your live operational data and answers plain-language questions about it. Not a chatbot bolted onto a help page — it reads the same records the phone agent writes and the calendar holds. You ask "which jobs tomorrow have no technician assigned," or "what did we quote the Hendersons last month," or "which invoices are more than thirty days out," and it answers in a sentence instead of making you build a report.

How to size the minutes
The one figure people get wrong is minutes, so here is the arithmetic.
Count your inbound calls in a normal month. Multiply by three to four minutes, which is a realistic average once you include the short wrong numbers and the long quoting conversations. That is your monthly minute load.

Overage is not a penalty, it is a rate. What it deliberately does not do
Being clear about limits is more useful than a feature list.
It does not cold-call prospects. Outbound is for your own leads and customers — following up on a quote you gave, confirming an appointment, chasing an unpaid invoice, reactivating a past customer. It is not a cold-calling machine, and it is not sold as one.
It does not replace technical judgment. When a caller asks something that requires a licensed opinion about their specific equipment, the right behavior is to capture the details and hand it to a human. A system that confidently guesses in a trade where a wrong answer becomes a callback is worse than one that says "our technician will confirm." It does not fix a broken price list. If your prices are inconsistent, an automated system will quote them inconsistently, faster and at scale. Cleaning the price list is a prerequisite, not an outcome.
Who it fits
The pattern is a business where the owner and technicians are in the field during the hours customers call. How a rollout usually goes
Point your existing number at the answering layer and change nothing else for two weeks. Load your price list. Watch the answered-call rate against last month, and read the transcripts — that alone usually surfaces two or three things about your own intake you did not know.
Then connect the calendar, then dispatch and invoicing, then attribution and follow-up. Layering it that way means each piece is verified against reality before the next depends on it. What actually happens on a call
An abstract description of an AI receptionist is less useful than the sequence. Here is what occurs, in order, on a typical inbound call.
The number rings and the system answers, usually within two rings. There is no menu, no "press one for service." The caller is talking to something that can help on the first sentence.
It recognizes the number if it has seen it before. A returning customer does not get re-interviewed. The system already knows there was a job on the fourteenth and can reference it, which changes the tone of the entire call — particularly if the reason for calling is that something went wrong.
It identifies what the caller needs, in the caller's own words rather than by making them navigate your service categories. Somebody saying "there's water under my sink" does not need to know whether that is a repair or a service call.
It asks the two or three questions that change the price, not an eight-field form. Which questions those are is configured per trade.
It quotes an all-in number from your structured price list, including any travel or after-hours component, computed rather than remembered.
It offers specific availability — real slots on a real calendar, filtered by service area and job duration — and books the one the caller picks.
It confirms by text so the customer has the price and the window in writing, which prevents most of the disputes that otherwise appear at the door.
It hands off when it should. A caller asking for a human, describing something outside the configured scope, or raising a complaint gets routed to a person with the context already captured rather than starting over.
The record persists. The call, the quote, the booking, and the source it came from are all attached to one customer record that the calendar, the technician's job view, and the invoice all read from.
That last step is the part that separates this from an answering service. A message service produces a note somebody has to act on. This produces a booked job.
Common objections, answered plainly
"Customers will hate talking to a robot." Some will, and those callers should be able to reach a person quickly — which is why the escalation path is a setup requirement rather than a nice-to-have. In practice, the comparison is not against a warm human conversation; it is against voicemail. Most callers prefer an immediate useful answer to a promise of a callback.
"It will quote something wrong and I'll be stuck with it." It quotes what you configured. If the price list is wrong, the quotes are wrong — which is why the price list is the real prerequisite. The failure mode to test for is different: what happens on a question outside the list. A system that improvises there is the dangerous one.
